Frequently asked questions

Straight answers about CaliberBase Vault — how the encryption works, what each plan holds, what happens to your records if you stop paying, and more.

What is CaliberBase Vault?

CaliberBase Vault is a private firearms-collection record system. It helps you organize firearms, serial numbers, photos, documents, estimated values, ammunition, gear, NFA items, permits, training, maintenance, trusts, and estate-planning information in one place.

What can I track in Vault?

Vault is built to track the full collection, including firearms, ammunition, gear, optics, magazines, safes, photos, documents, receipts, NFA items, trust information, carry permits, training, range activity, maintenance, and estimated values. Available limits depend on your plan — explore Vault features or compare plans.

How does Vault protect my collection information?

Vault is designed to protect sensitive collection information. Your key is derived from your password, on your device, using AES-256 — the same cipher the U.S. government specifies for its own most sensitive data. Your records are encrypted before they're ever stored, and your key stays with you.

Why use Vault instead of a spreadsheet or cloud folder?

A spreadsheet or folder can hold part of the record, but it wasn't built to connect serial numbers, photos, receipts, values, documents, storage, permits, trusts, and recovery planning in one collection-focused system. Vault is designed around the details firearm owners actually need to keep.

Can Vault help with an insurance claim or theft report?

Vault helps you keep serial numbers, photos, receipts, descriptions, estimated values, and supporting documents organized before you need them. That can make it easier to assemble the information an insurer or law-enforcement report may request. Vault does not guarantee coverage, claim approval, reimbursement, or any law-enforcement outcome.

Can I track NFA items, trusts, and supporting documents?

Yes. Vault tracks NFA items — suppressors, SBRs, and their tax stamps — linked to the firearm they belong with, plus full trust records with grantor, trustee, successor-trustee, and beneficiary roles. NFA and trust tracking start on Collector and scale up through the higher tiers; the Free plan doesn't include them. Compare Vault plans to see exact limits.

Can I track carry permits and renewal reminders?

Yes. Save your permits with their expiration dates, and Vault surfaces a reminder on your dashboard as a renewal approaches — connected to the rest of your collection records. Carry permits are unlimited on every plan, including the free plan — there's no upgrade needed just to track permits. The reciprocity map itself is free for everyone, no account required — check carry reciprocity.

What happens to my records if I cancel?

Canceling a paid plan downgrades your account to Free — nothing is deleted. If you're over the Free plan's limits, your oldest items beyond the limit are simply locked from everyday browsing until you upgrade again or bring your collection back under the limit, and you can still export everything at any time. Deleting your account entirely is a separate, deliberate step: it starts a 14-day window during which the account is disabled and the deletion can still be cancelled, before your data is permanently and irreversibly removed.

Can I export my collection records?

Yes. Every plan, including Free, can export the complete collection — every record type, plus photos and documents if you choose to include them — as CSV, a full JSON backup, or a password-protected encrypted backup file. Export works for as long as your account exists; it isn't available during the 14-day window after you've requested account deletion.

Can Vault help with estate planning?

Vault helps organize collection records, supporting documents, estate sheets, and instructions for the people you choose. It does not provide legal advice or replace an attorney, trustee, executor, or estate-planning professional. See estate-planning tools.
